Rheumatology Center of Northern Virginia – Office Policies
Our office policies are designed to ensure efficient patient care and a smooth experience for everyone.
Appointment Policy
To provide timely and effective care, all patients must have a scheduled appointment. Missed appointments and late cancellations not only impact our practice but also prevent other patients—many of whom may be seriously ill—from receiving necessary care.
- No-Show: Failing to attend a scheduled appointment.
- Late Cancellation: Canceling an appointment with less than 24 hours’ notice for office visits or 72 hours’ notice for procedures (e.g., injections or infusions).
We understand that emergencies may arise and will evaluate such situations on a case-by-case basis.
Arrival Times
- New Patients: Arrive 30 minutes before your scheduled appointment.
- Established Patients: Arrive 15 minutes before your appointment.
Arriving late may result in your appointment being rescheduled and a late cancellation fee applied.
Cancellation & No-Show Fees
- Office Visit: $50 fee for a no-show or late cancellation (less than 24 hours’ notice).
- Procedures (including injections/infusions): $150 fee for a no-show or late cancellation (less than 72 hours’ notice).
These fees are the patient’s responsibility, as insurance companies do not cover them. To cancel or reschedule, please call us at 571-545-4343.
Required Documents & Payments
- Bring your insurance card, photo ID, and copay at check-in.
- Any outstanding balances must be paid before your appointment.
Failure to provide these may result in rescheduling.
No Children Under 16 Policy
To ensure a safe, quiet, and professional environment, children under 16 are not permitted unless pre-approved by a provider or management. This policy helps:
- Maintain a calm and focused atmosphere for medical care.
- Protect patients, particularly those who are immunocompromised.
- Prevent disruptions that could impact patient care.
We appreciate your understanding and cooperation.
Health & Safety Precautions
- If you have symptoms of COVID-19, flu, or any contagious respiratory illness (e.g., cough, fever, sore throat, shortness of breath), notify our office immediately.
- Call ahead if you are experiencing symptoms so we can conduct a screening over the phone to ensure safety for all.
- For medical emergencies, call 9-1-1 or visit the nearest ER.
Cell Phone Etiquette
- Silence your phone while in the office.
- Limit phone conversations to avoid disturbing staff and other patients.
These policies are in place to ensure all patients receive the best care possible. Thank you for your cooperation!
